Track Any Email Conversation Through CINC Follow
Through the CINC External Email Parser you can log/track emails that originated outside of the CINC system back into the CINC Platform.
Using the CINC External Email Parser, you will simply forward the communication happening outside of CINC directly to your CINC External Email Tracking Address. We will first try to find the matching lead that currently exists in your platform and attach the email conversation to the applicable lead. If no matching lead is found, we will automatically create a new partial lead for you with the email address.

Where to Locate Your Tracking Email Address
1. Log into your CINC Account and Access "Profile and Settings" in the upper right corner.
2. Select the Integrations Tab
3. Scroll Down to the External Email Parsing section and copy your External Email Parsing Address.
How to use your Parsing Address for Email Forwarding
When you receive an email from a lead or contact outside of the CINC Platform, you may want to log that email reply you've received back into the Lead's details in CINC. With the CINC Email Parser Integration, you can forward that message to your CINC Email Parser Address and it will be recorded in the lead activity feed matching the "From" email address.
Note that in order to have a forwarded email logged in CINC, it must meet the following criteria:
- When forwarding an individual reply (not other parts of an email chain), the forwarded message header that is created by your email client must be present and in English
- The email address you're using to send the forwarded email must be one of the following:
- An agent/broker/partner email that is active in CINC
- An email in a connected email inbox (SMTP or Gmail)
- The lead's email domain is not currently listed in your excluded domains list
If the lead's email currently isn't stored in the CINC Platform, forwarding the email reply will create a new buyer lead if the lead's domain is not listed in the excluded domains list. These new buyer leads will not receive the CINC Welcome Email by default.
Also note, if you reply to an email from a lead and forward the entire email thread into CINC, the email will NOT log to the lead's record. After a reply, the email header changes, therefore the forwarding address is unable to support the header in this format.
How to Track Real Time Email Conversations Occurring Outside of CINC
We recommend using the CC or BCC field in your emails to capture any real time email conversations as they occur. The emails that have also included the CINC External Email Parsing Address in the CC field will be logged within the appropriate lead record.
To have a cc'd email logged it must be the following criteria:
- The email address you're using to send the forwarded email must be one of the following:
- An agent/broker/partner email that is active in CINC
- An email in a connected email inbox (SMTP or Gmail)
- The lead's email domain is not listed in your excluded domains list
Keep in mind if the lead's email address isn't currently stored in your CINC Platform, CC'ing the tracking email on your message thread will create a new buyer lead if the lead's email domain is not listed in the excluded domains list.
Your Excluded Domain's List: What does this mean and why is it important?
You may decide to never log emails sent to specific email domains (ie. your company domain) back into the CINC Platform. Emails forwarded or CC'd with these domains will not cause the creation of new leads nor will they appear in the existing lead/agent activity.
To exclude specific domains, go to the "Excluded Domains" section of the External Email Parsing tool and type in the domains you wish to exclude. Broker level users may choose to exclude domains for just themselves or for the whole CINC site. See image below:
Please note: Excluded domains only applies when using this External Email Parsing tool and we recommend against using large email domains (Gmail, Yahoo, etc.)
